Unlocking The Backlog Behind the Mission

At most organisations, a backlog of data requests is an operational nuisance. At Teenage Cancer Trust, it carried more weight than that.

The charity exists to support young people with cancer across the UK, providing specialist care, resources, and services, and working closely with healthcare providers to improve outcomes at one of the hardest moments a young person and their family can face. Nearly everything it does is powered by fundraising. And fundraising, increasingly, is powered by data.

So when the Data Team found itself facing a growing queue of fundraising data requests, the pressure was about more than workload. Every delayed request was a potential delay to income-generating activity, and behind every pound raised is the mission itself. The team was working hard, but there was limited visibility over how requests were prioritised and managed, and as demand grew, it was becoming harder to keep up with what mattered most.

The temptation with problems like this is to reach for something big: a restructure, a new system, a lengthy transformation programme. Fluxion's view was that the situation called for something more proportionate. We conducted a light-touch operational review, spending time understanding how work actually flowed through the team, where the bottlenecks sat, and how the Data and Fundraising teams worked together at the points where their worlds met.

What emerged was a clear, honest picture of where the friction really was, paired with practical recommendations the team could realistically act on: sharper prioritisation, clearer processes, and a stronger operating model. No jargon, no fifty-page report, just a path forward that fitted the size of the problem and the resources of a charity that rightly wants its money going to young people, not overheads.

Today, the Data Team has a clearer view of its own workload and a better way of deciding what comes first. With prioritisation and process working with the team rather than against it, they are better positioned to support fundraising, and through it, the wider goals of the organisation.

Sometimes the most valuable thing a consultancy can do is not the biggest thing. It's the right-sized thing, done well, so that the people doing vital work can get on with doing it.
